  • Update supplier necessary details (i.e., supplier name, address, contact details, bank details, EIN, attach W-9 form) in the accounting software.
  • Review and ensure all the batches (food, drink, expense, and others) are posted on time.
  • Reconcile purchase summary log with QB and request missing invoices.
  • Reconcile the supplier ledger with account statements from the supplier and identify the variance. Prepare the missing list, approval/credit pending list in the statement tracker, 1099 (Misc), and W-9
  • Prepare & review daily bank projection reports.
  • Complete AP and all associated tasks, including a) process the AP file, b) send bill payment stub, c) Purchase supplier portal (QB suggested), d) get accounts statement, missing invoices, and credit note from the supplier.
  • Make positive statements should be uploaded to EA & doc manager, for future reference.
  • Ensure the timely allocation of all payments.
  • Prepare the weekly AP report, and get it approved from the respective authority at the client end.
